Summary: We collect only what we need to run SeySuite for your business. We never sell your data. Your business data belongs to you. We store data on secure EU-hosted infrastructure.

1. Who We Are

SeySuite is a product of Zil Smart Solutions, a technology company registered in the Republic of Seychelles. When we say "we", "us", or "our", we mean Zil Smart Solutions.

2. What Data We Collect

Account Data

When you register, we collect your name, email address, company name, and password (stored as a cryptographic hash — we never see your actual password).

Business Data

Data you enter into SeySuite in the course of using the platform: employee records, invoices, quotes, receipts, expenses, payroll records, leave records, time entries, customer and supplier information, inventory items, and company settings.

Usage Data

We collect basic usage information such as login timestamps, IP addresses, browser type, and which features you use. This helps us improve the platform and troubleshoot issues.

Data We Do NOT Collect

We do not track your browsing activity outside SeySuite
We do not use cookies for advertising or tracking
We do not collect biometric data
We do not access your device contacts, camera, or location

3. How We Use Your Data

To provide and operate the SeySuite platform
To calculate payroll, PAYE, and SPF per SRC regulations
To generate invoices, reports, and other business documents
To send you important service notifications (e.g., subscription expiry, password resets)
To provide customer support
To improve the platform based on usage patterns (aggregated, never individual)

4. Data Storage and Security

Your data is stored on enterprise-grade cloud infrastructure hosted in the European Union (eu-west-1), provided by Supabase (built on Amazon Web Services). All data is encrypted in transit using TLS 1.2+ and at rest using AES-256 encryption.

Access to production databases is restricted to authorised Zil Smart Solutions personnel only and requires multi-factor authentication.

5. Data Sharing

We never sell, rent, or trade your personal or business data to any third party.

We may share data only in the following limited circumstances:

Service providers: Infrastructure hosting (Supabase/AWS), email delivery (Resend), and deployment (Netlify, Railway) — bound by their own privacy policies and data processing agreements
Legal obligation: If required by Seychelles law, court order, or regulatory authority
With your consent: If you explicitly ask us to share data with a third party (e.g., your accountant)

6. Data Retention

Your business data is retained for as long as your account is active. If you cancel your subscription:

Your data remains available for export for 90 days after cancellation
After 90 days, your data is permanently and irreversibly deleted from our systems
Backups containing your data are purged within 30 days of the deletion date

7. Your Rights

You have the right to:

Access — Request a copy of all data we hold about you and your business
Correction — Request correction of inaccurate data
Deletion — Request deletion of your account and all associated data
Export — Download your data in standard formats (CSV, PDF)
Restrict processing — Request that we limit how we use your data

8. Employee Data

If you use SeySuite to manage employee records and payroll, you are the data controller for your employees' personal data. We are the data processor. See our Data Processing Agreement for details on how we handle employee data on your behalf.

You are responsible for ensuring you have the appropriate legal basis (e.g., employment contract, consent) to process your employees' data through SeySuite.

9. Children's Data

SeySuite is a business management platform and is not intended for use by anyone under the age of 18. We do not knowingly collect data from minors.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email to the account holder and posted on this page. Your continued use of SeySuite after changes constitutes acceptance of the updated policy.
